  • Transaction Coordinator

    Work closely with a high-performing real estate team serving HNW clientele in the Charleston market. This is a key operational role where your precision, organization, and client-service mindset will keep complex transactions on track to deliver a seamless experience from contract to close.

    About the Role:

    As the Transaction Coordinator, you will manage the full lifecycle of real estate transactions, ensuring all deadlines, documentation, and compliance requirements are met. You will be the central point of contact between agents, clients, attorneys, lenders, and other stakeholders, providing clear, timely communication throughout. Your work will directly support a smooth closing process for high net worth clients and help protect the business from risk.

    Key Responsibilities:

    • Coordinate all aspects of real estate transactions from executed contract through closing, ensuring timelines and contingencies are met.
    • Prepare, review, and track all transaction documents, addenda, and disclosures for completeness and accuracy.
    • Serve as primary liaison between agents, buyers and sellers, attorneys, lenders, inspectors, and other parties to maintain clear communication and status updates.
    • Manage escrow and closing processes, including scheduling, collecting required documentation, and confirming final figures with all parties.
    • Enter and maintain accurate listing and transaction data in the MLS and internal systems, updating status changes and key milestones.
    • Utilize real estate CRM and transaction management software to create, monitor, and update task lists, deadlines, and workflows.
    • Organize and maintain digital and physical transaction files in compliance with South Carolina real estate regulations and brokerage policies.
    • Support day-to-day office management tasks related to transactions, including correspondence, filing, and coordination of appointments.

    Key Requirements:

    • Proven experience in real estate transaction coordination or a similar administrative role within a real estate environment.
    • Experience supporting luxury or high-end residential real estate transactions.
    • Strong knowledge of South Carolina real estate regulations, contracts, and standard forms.
    • Demonstrated ability to manage multiple transactions simultaneously while prioritizing tasks and meeting strict deadlines.
    • Exceptional attention to detail and accuracy in document handling and data entry.
    • Confident, professional communication skills with the ability to interact effectively with high net worth clientele and multiple stakeholders.
    • Proficiency with real estate CRM and transaction management software, as well as standard office applications (e.g., Microsoft Office or Google Workspace).
    • Solid understanding of escrow, title, and closing processes.
    • Proven ability to work independently, anticipate needs, and resolve issues proactively.

    Desirable Skills:

    • Familiarity with Charleston-area market practices and local service providers.
    • Prior experience in an office management or operations support role within a brokerage.
    • Comfort working in a fast-paced, deadline-driven environment with changing priorities.

    Qualifications:

    • High school diploma or equivalent required.
    • Associate’s or bachelor’s degree in business, real estate, or a related field preferred.
    • Ongoing professional development or coursework in real estate law, contracts, or compliance is an advantage.
